1. General

By completing and submitting the agent application form, the agent understands that his/her registration must be confirmed, in writing by Wine Events Worldwide, before participation is allowed. The agent agrees to pay a €295 non-refundable and non transferable administration fee upon approval of application to secure registration.

2. Liability and insurance

Wine Events Worldwide or the hosting function hotel or conference centre or main sponsor are not liable for any claim of theft, damage of property, or injury sustained while participation takes place.In the event of cancellation or postponement of the programme, or any part thereof, due to civil discord, terrorism, military action or natural events occurring without fault on the part of Wine Events Worldwide, there shall be no refund of fees paid, travel costs, nor expenses incurred.The agent is responsible for all travel arrangements and costs incurred to and from the event. It is the agent’s responsibility to secure and pay any fees in relation to a visa if requierd for Poland.

3. Participation

The agent understands that his/her presence is required at all official IFOODTC functions as indicated in the programme. The agent shall not take part in non-IFOODTC functions which would preclude his/her attendance at all published and scheduled official IFOODTC activities. The agent shall also not participate in FAM trips sponsored and supported by companies and organisations not participating in the IFOODTC event. No family members, friends or business partners of the agent who are not officially registered shall be admitted to the workshop.The agent understands that all participant arrangements and/or changes must be submitted in writing and confirmed by IFOODTC.The agent agrees not to use the workshop for his/her own commercial purposes by trying to sell or offer services or products (e.g. advertisements in their publications or website, tours, fairs, or other products and services such as insurance, telephone cards etc.).The agent agrees to have secured a minimum of 15 appointments one week prior to the event taking place. If a significant number of scheduled appointments are missed (no-shows), or not pre-scheduled, the agent will be fully and solely responsible for a misconduct fee of €50 per appointment missed or not scheduled, and for the total price of their hosted accommodation. The agent must fully complete his/her profile on the online diary My “Wine Pleausures” within five working days of receiving the login details and must respond to business appointment requests within two working days of receiving a request.In the case of two persons same company then the second person must also schedule at least 10 meetings one week in advance of the event and separate from the first person’s agenda

4. Agent Cancellation

Agents wishing to cancel their attendance must do so in writing a minimum of four weeks prior to the workshop. Regardless of the cancellation reason, Agents may also be subject to an additional cancellation fee where accommodation has been booked and paid for on their behalf and fees are non-refundable. Any Agent who cancels due to medical reasons must provide a medical certificate within one week of notification or the Agent will not be eligible for a refund. (Registraion fee paid less 10% admin fees) All medical certificates must be in English, not hand written, and with an official stamp and signature.

5. Exclusion of liability. Wine Events Worldwide takes no responsibility:

For Agents who miss their flight/travel arrangements. For the insolvency or failure of any airline company or hotel or ground handling company or other supplier. For flight/travel cancellation or delay. If the Agent is refused permission to board the aircraft or other mode of transport, or is refused entry to any country. For any delay or loss of baggage or excess baggage charges – any subsequent dispute shall be directly between the Agent and the airline.
For hotel expenses (excluding the cost of the hotel room only) which must be settled with the hotel prior to departure. For any claims or liability in relation to the whole agent programme organized by the host destination.

6. Hotel accommodation

Agents will be accommodated for a maximum of 5 nights (In 9 November – Out 14 November) and will have sponsored meals throughout the event as listed in the event programme. Any miscellaneous charges (extra night(s), room service, tours, telephone calls, business centre services, etc.) incurred during the agent’s stay will be at his/her own expense.

7. Media waiver

I give permission to Wine Events Worldwide to use photographs or video footage of me, taken at the Workshop event, for promotional purposes only.

8. Event cancellation or postponement

Wine Events Worldwide takes no responsibility if unforeseen circumstances (fuerza mayor) cause Wine Events Worldwide to cancel IFOODTC or a component of IFOODTC all agents including travel companion if aplicable will be informed as soon as possible. In such a case the registration fee/s paid are non refundable and non transferable to a subsequent annual edition. In the event of event postponement the registration fee paid is transferable to the new dates.

9. Concluding provision

Wine Events Worldwide shall have full power to interpret and amend the above mentioned terms & conditions which in its discretion shall be in the best interest of the workshop. The agent understands that the information contained in the workshop material constitutes part of the application contract and agrees to conform to all terms & conditions.
